Exhibitor Information

Commercial exhibits will be set up on Sunday, October 5  between the hours of 1730 and 2000. All exhibits will remain on display Monday through Friday. Exhibits must be removed from the poster / exhibit area after 1900 h on Thursday, October 9. As a courtesy to attendees interested in viewing the exhibits, exhibitors are required to open their exhibit on time and to staff it throughout the day until the scheduled closing time. It is not compulsory to man your booth during free periods.
  • The exhibit hall will officially open on Monday, October 9 at 1000h.
  • Exhibitors will be provided a complete convention kit containing the official program and will receive two (2) badges per booth. This will entitle them to attend all events included in the registration as well as scientific sessions.
  • Exhibitors are offered the opportunity to advertise throughout the meeting by placing an advertisement in the abstract volume ($1000 for a full page color or $650 for a half page color advertisement) or by sponsoring a coffee break, poster session, or social function. All rates are listed in US dollars. Registration fee for exhibitors is $1650 if postmarked before June 1, 2008. After June 1, 2008 the regular rate of $1850 will be charged. Rental price includes two name badges, 1 booth, identification sign (maximum 30 characters), and listing in the program provided to all registrants. All exhibitors must register electronically on-line through the registration site.

All booths are approximately 8 feet X 8 feet and are supplied with:

  • 8’ high background and 3’ high side dividers in flameproof black drapes.
  • (1) One 6’ x 30’’ display table topped with white vinyl and skirted on three sides in white drapes.

  • (2) Two side chairs in grey fabric
  • (1) One booth identification sign, consisting of company name in block letters on a white background

  • (1) One waste paper basket

Please note that the venue is carpeted.

On-site Exhibit Hours:

  • Monday, October 6, 2006: 1000h - 1710h
  • Tuesday, October 7, 2006:  0800h - 1900h (free period for all attendees 1200 - 1600 h)
  • Wednesday, October 8, 2006 - 0800h - 1700h
  • Thursday, October 9, 2006 - 0800h - 1900h (free period for all attendees 1200 - 1600 h)
Priority numbers will be assigned in the order in which applications are received. A confirmation of your assigned priority number will be sent to you as soon as possible. 



All additional booth furnishings must be obtained from the conference contractor: TBA



The conference contractor will send an exhibitor pack, which includes Scheme booth layout, signage confirmation form, additional lighting and power request forms, and furniture brochure and order forms, to all exhibitors. EXHIBITORS  ARE URGED TO ORDER FURNISHINGS IN ADVANCE TO AVOID PAYING THE HIGHER RATES AT THE SHOW.



MATERIAL HANDLING

TBA has also been chosen as the Official Materials Handling Supplier for the conference. They will provide Drayage, Moving and Handling services at a cost to exhibitors. Their service includes:



  • Receive advance delivery freight at their warehouse
  • Store up to twenty days at the warehouse
  • Deliver shipments to exhibitor’s booth
  • Remove and store “empties” during the exhibition
  • Return empties at the conclusion of the show
  • Remove repacked material for shipment as directed.

CUSTOMS CLEARANCE / TRANSPORTATION / MATERIALS HANDLING

Transportation logistics and customs clearance are arranged by TBA agents. The freight is forwarded to Official Materials Handling Supplier’s advance warehouse prior to the event. They ensure delivery to the booth, storage of empties and return of the freight to the warehouse.

Note that there is no exclusivity on customs, transportation or materials handling services. Exhibitors are free to use any avenue they choose.
